Heathcote Greenstone Vintners Pty Ltd and entities controlled by it (referred to collectively in this policy as HGV) understand the importance of protecting individuals' rights to privacy. We have prepared this statement to help you understand how we aim to protect the privacy of your personal information.

As a client of HGV, we have a duty to you to maintain strict confidentiality in respect of your affairs.

In handling personal information, HGV is subject to the Privacy Act and comply with the ten National Privacy Principles in the Act.

This policy describes the way the HGV collects, uses and discloses your personal information and your rights in relation to our management of your personal information. We may update this policy from time to time.

Rights to privacy

What kinds of personal information does HGV collect?

Personal information is information that identifies an individual.

During the provision of our services, we may collect your personal information.

Generally, the kinds of personal information we collect are your name, address, telephone number and email address. In some circumstances, we may also hold other personal information provided by you.

How do we collect your personal information?

Generally, we collect your personal information directly from you.

There may be occasions when we collect your personal information from other sources such as from an information service provider, a publicly maintained record, an insurance company when we are pursuing a claim on its behalf or a company for whom you work.

Why do HGV need your personal information?

We collect this information to provide the best possible service.

As part of providing our services to you, we may collect your personal information to give you the option of receiving our updates and publications, and to invite you to training sessions and other HGV functions.

If you do not wish to provide us with your name and address, please tell us and we will only request information that is required by law.

If you do not provide us with your personal information we may not be able to assist you in providing you with our consulting or property certification services (if you are our client), or it may affect our ability to meet our obligations to our clients (if you are not a client).

Who do we disclose your personal information to?

We disclose your personal information for the purposes for which we collect it. That is, generally, only to provide our consulting and certification services.

To provide our services we may disclose your information to third parties that we engage to perform administrative or other services. Such disclosure is always on a confidential basis.

We may also disclose your personal information when necessary in the handling of your consulting or property certification work, with your consent or if disclosure is required by law.

Security of your personal information

HGV takes all reasonable steps to ensure that the personal information that we hold is protected against misuse, loss, unauthorised access, modification or disclosure.

We hold personal information in both hard copy and electronic forms in secure databases on secure premises, accessible only to authorised staff.

Can you access the personal information HGV hold about you?

You have a right to access the personal information we collect and hold about you. If at any time you would like to access or change your details, or you would like more information on our approach to privacy, please tell us.

In most cases, a summary of your personal information, such as your name, contact details and the matters in which we act for you, are available at no fee. If providing you with such access requires a more detailed retrieval of your information, a fee may be charged for the cost of such retrieval and supply of information.
